Basic Information

Position Title: Sales Operation Administrator

Location: On-site, Hamburg, Germany

Reports to: EU Regional Sales Director; Administrative Affairs report to Int’l Sales Director

 

Role Overview:

We are seeking a proactive and detail-oriented Sales Operation Administrator to join our team. The role bridges the gap between operational logistics and sales support, ensuring seamless order processing, supply chain efficiency, and client satisfaction. This dynamic role demands excellent organizational skills, problem-solving abilities, and customer-centric communication.

Key Responsibilities

Operations Coordination:

  • Oversee day-to-day supply chain operations, including inventory management and stock control.
  • Coordinate shipping schedules, liaising with suppliers, freight forwarders, and warehouses.
  • Ensure compliance with D.A.CH region regulations for imports and exports.
  • Manage project timelines and ensure operational tasks align with customer deadlines.

Sales Administration:

  • Process and track sales orders, updating records in the CRM/ERP systems.
  • Generate accurate quotations, sales invoices, and delivery schedules for clients.
  • Act as a liaison between the sales and operations teams to ensure timely deliveries.
  • Support sales representatives with administrative tasks, including lead management and reporting.

Customer Relations:

  • Respond promptly to customer inquiries regarding products, orders, and logistics.
  • Resolve complaints and issues efficiently, escalating to senior management when needed.
  • Maintain and enhance customer satisfaction through clear and proactive communication.

Reporting & Analysis:

  • Prepare regular reports on operational performance and sales metrics.
  • Identify trends in order volumes, inventory needs, and customer behavior.
  • Suggest process improvements based on data insights.

Qualifications and Skills

Essential:

  • Proven experience in operations coordination, sales administration, or related roles.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and CRM/ERP systems.
  • Excellent organizational and multitasking skills.
  • Strong communication and problem-solving abilities.
  • Familiarity with logistics and supply chain principles in the D.A.CH region.

Desirable:

  • Background in the solar or renewable energy sector.
  • Technical knowledge of solar mounting systems or similar products.
  • Ability to manage cross-functional projects and meet deadlines.
